Task and potential benefit
Task
Invoices, technical questions and sales enquiries arrive in a shared inbox.
Potential benefit
A consistent review list can make handovers and exceptions easier for the team to understand.
Workflow in this example
From message to review list
The trial checked the original German subject and message for defined terms. It assigned a category only when exactly one group matched; ambiguous or incomplete input stayed in manual review. No live inbox was connected and no outgoing action occurred.
Input
Subject and message are the input. Translated sample FIK-1001:
- Subject
- Question about the test order
- Message
- For the fictional office supplies order, please send the invoice.
Rules
The executed sorting trial checked the original German messages for terms about invoices, errors or support, and quotations or prices. It assigned a category only when exactly one rule matched.
- Invoice terms
- Error or support terms
- Quotation or price terms
Review list
The output records a reference, category, matched rule, reason and review status. All seven entries remain pending human review.

Outcome and responsibility
Recorded test with fictional data
The trial with seven fictional messages produced a review list with reference, category, matched rule and reason. All seven entries remain pending human review.
Potential benefits
For your team
Handle messages with clearer context
Category and reason help the team decide how to handle a message next. Ambiguity and missing details remain visible for review and follow-up questions.
For your organisation
Prepare consistent handovers
The review list provides a shared basis for agreeing ownership and next steps. Exceptions remain visible when work is handed over or a colleague takes over.
Responsibility
- System support
- Fixed rules assign a message to a category when exactly one rule group matches. Ambiguous, incomplete or unmatched inputs are flagged for manual review.
- Responsible person
- The team reviews every entry, assigns responsibility and decides on follow-up questions, a reply or further handling.
